Job Summary
- The Procurement Manager is responsible for developing and executing procurement strategies that ensure the timely, cost-effective, and quality acquisition of raw materials, packaging materials, food ingredients, equipment, consumables, and other operational supplies required for the business.
- The role ensures uninterrupted supply, effective supplier relationship management, cost optimization, compliance with food safety standards, and efficient inventory support across all business locations.
- The ideal candidate must possess strong procurement experience within the confectionery, bakery, food manufacturing, Quick Service Restaurant QSR, or FMCG industry and demonstrate hands-on experience using Enterprise Resource Planning ERP systems to manage procurement processes.
Key Responsibilities
Procurement & Strategic Sourcing:
- Develop and implement procurement strategies aligned with business objectives.
- Source and negotiate with local and international suppliers to obtain the best value in terms of quality, price, delivery, and service.
- Procure food ingredients, packaging materials, bakery and confectionery raw materials, equipment, consumables, and indirect materials.
- Conduct market research to identify new suppliers and alternative sourcing opportunities.
- Drive cost-saving initiatives without compromising quality or food safety standards.
Supplier Management:
- Identify, evaluate, onboard, and manage supplier performance.
- Negotiate pricing, contracts, payment terms, and service level agreements.
- Maintain strong supplier relationships while ensuring accountability and performance.
- Conduct periodic supplier audits and performance reviews.
Inventory & Supply Planning:
- Collaborate closely with Production, Warehouse, Finance, and Operations to forecast procurement requirements.
- Ensure adequate stock availability while minimizing excess inventory.
- Monitor reorder levels and prevent stock-outs of critical materials.
- Coordinate timely deliveries to support production schedules and retail operations.
ERP & Procurement Systems:
- Manage procurement activities using ERP software.
- Generate purchase requisitions, purchase orders, goods receipt notes, and procurement reports.
- Maintain accurate procurement records within the ERP system.
- Analyze procurement data to support decision-making and cost optimization.
Cost Control & Compliance:
- Monitor procurement budgets and spending.
- Ensure compliance with company procurement policies and approval processes.
- Ensure all procured items comply with food safety regulations and quality standards.
- Maintain proper documentation for audits and regulatory requirements.
Reporting:
- Prepare weekly and monthly procurement reports.
- Track supplier performance KPIs.
- Analyse procurement trends and recommend improvement opportunities.
- Present procurement performance to management.
Qualifications
- Bachelor's Degree in Supply Chain Management, Procurement, Business Administration, Logistics, or a related field.
- Professional procurement certification CIPS, CPSM, or equivalent is an added advantage.
- Membership of relevant professional bodies is desirable.
Experience:
- 5 - 8 years procurement experience.
- At least 3 years in a Procurement Manager or Senior Procurement Officer role.
- Mandatory experience within any of the following industries:
- Quick Service Restaurant QSR
- Confectionery
- Bakery
- Food Manufacturing
- FMCG
- Proven experience purchasing food ingredients, packaging materials, production supplies, and operational consumables.
- Demonstrated experience using ERP systems.
