Role Summary

  • We are seeking a highly organized, proactive, and resourceful Human Resource & Executive Assistant to provide comprehensive support to the Director while overseeing key Human Resource and administrative functions within the organization.
  • The ideal candidate will serve as a trusted partner to the Director, ensuring the effective coordination of priorities, projects, communications, and cross-functional activities.
  • This role requires exceptional organizational skills, sound judgment, professionalism, discretion, and the ability to thrive in a dynamic environment where priorities may shift frequently.

Key Responsibilities

Executive Support:

  • Provide high-level administrative and operational support to the Director.
  • Manage and coordinate the Director's calendar, appointments, meetings, and engagements.
  • Prepare reports, presentations, correspondence, meeting materials, and other business documents.
  • Coordinate activities, deliverables, and follow-ups across the Director's team and relevant departments.
  • Track action points arising from meetings and ensure timely execution by responsible parties.
  • Serve as a liaison between the Director and internal/external stakeholders.
  • Conduct research, compile information, and prepare briefing materials to support decision-making.
  • Attend meetings as required and document minutes, resolutions, and action items.
  • Manage sensitive and confidential information with the highest level of discretion and professionalism.
  • Support the planning, execution, and monitoring of strategic initiatives, special projects, and assignments delegated by the Director.
  • Anticipate operational needs and proactively resolve issues to ensure the smooth running of the Director's office.

Human Resources:

  • Coordinate recruitment activities, including job postings, candidate sourcing, interview scheduling, assessments, and candidate communication.
  • Facilitate onboarding and offboarding processes to ensure a seamless employee experience.
  • Maintain accurate and up-to-date employee records, HR documentation, and personnel files.
  • Support employee engagement, performance management, training, and development initiatives.
  • Assist with the implementation and communication of HR policies, procedures, and organizational guidelines.
  • Prepare HR-related reports, correspondence, and documentation as required.
  • Coordinate leave management, attendance tracking, and other employee administrative processes.
  • Support employee relations matters and ensure timely resolution or escalation of issues where necessary.

Administrative & Operational Support:

  • Coordinate internal meetings, events, training sessions, and company activities.
  • Support the preparation of operational reports and departmental documentation.
  • Monitor the progress of assigned tasks and projects, ensuring deadlines and objectives are achieved.
  • Assist in improving administrative processes and operational efficiencies across the organization.
  • Perform other duties and responsibilities as assigned by Management.

Requirements

  • Bachelor's Degree in Human Resources, Business Administration, Management, or a related discipline.
  • Minimum of 2–4 years' experience in Executive Assistance, Human Resources, Administration, Operations, or a similar role.
  • Strong understanding of HR processes and administrative best practices.
  • Excellent verbal and written communication skills.
  • Exceptional organizational, planning, and time-management abilities.
  • Strong attention to detail and problem-solving skills.
  • Ability to manage multiple priorities and work effectively under pressure.
  • High level of professionalism, integrity, and confidentiality.
  • Proficiency in Microsoft Office Suite and other productivity tools.
