Job Description

  • The Admin & Inventory Officer is responsible for ensuring the efficient administration of office operations while maintaining accurate inventory records and stock control processes.
  • The role supports business continuity by coordinating administrative activities, managing inventory levels, and ensuring the availability of office and operational supplies.

Key Responsibilities

  • Manage the receipt, storage, issuance, and reconciliation of inventory items to ensure stock accuracy and accountability.
  • Maintain accurate inventory records using inventory management systems and Microsoft Excel.
  • Conduct routine stock counts and periodic physical inventory audits, investigating and resolving discrepancies.
  • Monitor inventory levels and initiate timely replenishment to prevent stock shortages or excess inventory.
  • Receive, inspect, and verify incoming supplies against purchase orders and delivery documentation.
  • Coordinate the issuance of materials and supplies to various departments while maintaining proper documentation.
  • Prepare inventory reports, stock movement reports, and other management reports as required.
  • Monitor office supply levels and coordinate procurement requests to ensure uninterrupted business operations.
  • Maintain organized filing systems for administrative, procurement, and inventory documentation.
  • Support vendor coordination for office supplies, equipment servicing, and administrative requirements.
  • Ensure office facilities, equipment, and workspaces are properly maintained and functional.
  • Coordinate routine maintenance and repairs of office equipment and liaise with external service providers where necessary.
  • Assist in implementing administrative policies, procedures, and internal controls to improve operational efficiency.
  • Ensure compliance with company policies relating to asset management, inventory control, and administrative processes.
  • Support internal and external audits by providing accurate inventory and administrative documentation.
  • Perform any other administrative or inventory-related duties as assigned by management.

Technical & Professional Requirements

  • Bachelor's Degree or HND in Business Administration, Supply Chain Management, Logistics, Accounting, or a related discipline.
  • 2–4 years' experience in Administration, Inventory Management, Storekeeping, or a similar role.
  • Strong knowledge of inventory control principles, stock management, and record-keeping practices.
  • Experience using Microsoft Excel and inventory management software or ERP systems.
  • Ability to prepare inventory reports, reconcile stock balances, and analyze inventory data.
  • Good understanding of procurement and administrative processes.
  • Excellent organizational, planning, and time-management skills.
  • Strong numerical and analytical skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • High level of integrity, accountability, and confidentiality.
  • Proficiency in Microsoft Office Suite Excel, Word, Outlook, and PowerPoint.
